How Much Does a CRM Cost? Pricing Models Explained for 2026
A CRM can cost anything from nothing to several hundred dollars a month for a small team, depending on how the vendor charges: per user, per contact tier, a flat fee per workspace, by usage or credits, or a base fee plus seats. The sticker price is rarely the real cost, because add-ons, onboarding fees, messaging charges and AI credits sit on top of it.
Key takeaways
- There are five common models: per seat, per contact tier, flat per workspace, usage or credits, and a base fee plus seats. Each one is cheapest for a different kind of business.
- The model matters more than the price. A $39 seat price and a $199 flat price are not comparable until you know how many people will use the CRM.
- Year-one cost is the number to compare. It includes onboarding, extra seats, contact growth and messaging, none of which appear in the monthly figure.
- Some vendors publish no static price. ActiveCampaign and Mailchimp price through a contact slider, so you can only get a figure by entering your own list size.
- Free CRMs are real and suit many solo operators, but the limits sit in specific places, usually automation, users and branding.
- Ask what happens when things change. Adding five users, doubling the list or needing a second pipeline is where the models diverge.
What are the main CRM pricing models?
Almost every CRM price is built from one of five structures, or a mix of them. The table summarises how each one scales and who it tends to suit. Vendor examples use figures from our August 2026 pricing check, quoted per month on annual billing.
| Model | What you pay for | Grows when you | Examples | Tends to favour |
|---|---|---|---|---|
| Per seat | Each person who logs in | Hire or add users | Pipedrive Growth $39/seat; Zoho CRM Plus $57/user; Salesforce Pro Suite $100/user | Solo users and very small teams |
| Per contact tier | The size of your list | Grow your audience | Systeme.io (free to 2,000 contacts, then tiers); Kartra (from $52 at 500 contacts) | Small lists with many staff |
| Flat per workspace | The workspace, whoever uses it | Move to a higher plan for features | Scalry $29, $79 or $199; GoHighLevel Starter $97 | Growing teams and lists |
| Usage or credits | Actions taken, such as AI generations or sends | Do more work with the tool | AI credits inside most newer plans, including Scalry | Light, occasional users |
| Base plus seats | A platform fee with a few users included | Add users beyond the included count | Keap $249 with 2 users, then $39 each; HubSpot Marketing Professional $800 with 3 seats, then $45 each | Teams that fit the included seats |

How does per-seat CRM pricing work?
You pay a fixed amount for each person with a login. It is the oldest model and the easiest to understand: three users at $39 is $117 a month. The price tracks headcount, so it rises when you hire and falls when you remove a seat.
Who it favours. A solo operator or a team of two or three. At that size per-seat pricing is often the cheapest honest option, and the free or low entry tiers from several vendors make it cheaper still. It also rewards teams where only a few people need full access.
What to watch. Cost grows in a straight line with people, and many teams discover they need more seats than they planned: an owner who just wants to look at reports, a contractor, a part-time assistant. Also check which features are locked to higher tiers; the per-seat figure on the pricing page is usually the entry tier, and the tier you actually need can be several times higher.
What is per-contact-tier pricing?
Here the price is set by how many contacts you store, or in some products how many you can email. Systeme.io, for example, is free up to 2,000 contacts and moves through paid tiers above that, reaching $97 for unlimited contacts. Kartra starts at $52 for 500 contacts and steps up through its published tiers to $429 at the 25,000-contact tier, with plans capped at 10 team members.
Who it favours. Businesses with a small, high-value list and several people: a consultancy with 400 clients and six staff pays the same whether the team grows or not.
What to watch. Success raises the bill. A good lead magnet or a purchased list pushes you into the next tier without anyone deciding to spend more. Check whether the vendor counts every contact or only those you can email, whether unsubscribed and bounced addresses still count, and what happens the day you cross a tier boundary. Some vendors move you automatically; others block sends until you upgrade.
What does flat per-workspace pricing mean?
One price covers the workspace, regardless of how many people use it. Scalry works this way: Starter is $29 a month, Pro is $79 and Scale is $199, each flat per workspace in the figures we publish. GoHighLevel's Starter plan is $97 with unlimited contacts and users, plus 3 sub-accounts.
Who it favours. Teams of roughly five or more, and any business where the list grows quickly or where many people need at least occasional access.
What to watch. Flat does not mean unlimited in every dimension. Plans still differ in features, included credits, limits on things such as pipelines or connected accounts, and some features sit only on selected plans. Read the limits table, not just the headline.
How do usage and credit-based plans work?
You pay for what you consume: email or SMS sends, phone minutes, AI generations. Increasingly this is layered on top of another model rather than replacing it. A plan includes a monthly allowance of credits, and heavier use means buying more. Scalry's plans, for example, carry monthly AI credits alongside the flat fee.
Who it favours. Light users. If you send a few hundred messages a month and use AI features occasionally, you pay for little.
What to watch. Credits are not standardised, so one vendor's credit is not another's, and the meter runs fastest when your marketing works. Ask what one credit buys for each action, whether unused credits roll over, and what happens at zero: a hard stop, a throttle or automatic top-ups at a higher rate.
What is base-plus-seats pricing?
A hybrid: a platform fee that includes a few users, then a per-seat charge for each additional one. Keap is $249 a month with 2 users included and $39 for each extra. HubSpot Marketing Professional is $800 a month with 3 core seats and $45 for each extra, plus a required $3,000 one-time onboarding fee.
Who it favours. Teams whose size matches the included seats and who need the platform depth the base fee buys.
What to watch. The base fee is paid whether you use the platform or not, so a solo operator on a base-plus-seats plan is paying for capacity they do not use. Onboarding and implementation fees often accompany this model, and they land in year one. Contact allowances usually sit on top of the seat count, so two meters can rise together.
What costs sit on top of the plan price?
The plan is the part of the bill you can see in advance. These are the parts you usually cannot, and each deserves a line in your budget.
- Add-ons. Pipedrive Growth, for example, lists Campaigns and LeadBooster as extras. Anything you assumed was included, such as email marketing, forms or a booking page, may be a separate product.
- Onboarding or implementation fees. HubSpot Professional carries a required $3,000 one-time fee, and Keap requires implementation quoted separately. These do not appear next to the monthly price.
- Email and SMS sends. Some plans cap monthly sends and charge above the cap; SMS and calls are usually billed by use, and carrier or number fees may apply.
- AI credits. Allowances are monthly and may not roll over. Heavy use of AI drafting, summarising or content generation can exhaust them.
- Storage and support. Files, recordings and faster support are capped or reserved for higher plans.
- Annual versus monthly billing. The advertised price is often the annual-billing price; paying monthly can cost more.
- Contract minimums. Annual terms that do not refund mid-term, minimum seat counts, and auto-renewals that increase the price.

How do you calculate year-one CRM cost by hand?
Take the vendor's published rule, apply it to your team size and contact count, multiply by twelve, then add the one-off fees. The rules below come from the figures in our August 2026 pricing check. All amounts are in US dollars per month on annual billing, and multiplying by twelve gives a ceiling: where a vendor sells an annual prepay at a discount, as Scalry does, the true figure is lower.
Two scenarios: a team of 3 users with 2,000 contacts and a team of 10 users with 10,000 contacts.
Scenario A: 3 users, 2,000 contacts
| Vendor and plan | Rule | Monthly | Year one |
|---|---|---|---|
| Pipedrive Growth | 3 × $39 | $117 | $1,404 |
| Zoho CRM Plus | 3 × $57 | $171 | $2,052 |
| Salesforce Pro Suite | 3 × $100 | $300 | $3,600 |
| Keap | $249 base (2 users) + 1 × $39 | $288 | $3,456 plus implementation |
| HubSpot Marketing Professional | $800 base (3 seats included) | $800 | $9,600 + $3,000 onboarding = $12,600 |
| Kartra | 2,000 contacts falls in the up-to-2,500 tier | $99 | $1,188 |
| ClickFunnels | 3 seats needs the 5-seat tier | $164 | $1,968 |
| Systeme.io | Free to 2,000 contacts | $0 | $0 |
| GoHighLevel Starter | Flat; unlimited contacts and users | $97 | $1,164 |
| Scalry | Flat per workspace | $29 Starter to $199 Scale | $348 to $2,388 at monthly rates; $290 to $1,990 on annual prices |
Scenario B: 10 users, 10,000 contacts
| Vendor and plan | Rule | Monthly | Year one |
|---|---|---|---|
| Pipedrive Growth | 10 × $39 | $390 | $4,680 |
| Zoho CRM Plus | 10 × $57 | $570 | $6,840 |
| Salesforce Pro Suite | 10 × $100 | $1,000 | $12,000 |
| Keap | $249 + 8 extra × $39 ($312) | $561 | $6,732 plus implementation |
| HubSpot Marketing Professional | $800 + 7 extra × $45 ($315) | $1,115 | $13,380 + $3,000 onboarding = $16,380, a floor |
| Kartra | 10,000 contacts in the up-to-12,500 tier; 10 seats is the cap | $189 | $2,268 |
| ClickFunnels | 10 seats needs the 10-seat tier | $248 | $2,976 |
| Systeme.io | 10,000 contacts tier | $47 | $564 |
| GoHighLevel Starter | Flat; unlimited contacts and users | $97 | $1,164 |
| Scalry | Flat per workspace | $29 Starter to $199 Scale | $348 to $2,388 at monthly rates; $290 to $1,990 on annual prices |
Read these tables with care
- ActiveCampaign and Mailchimp have no static published price. Both price through a contact slider, so we cannot show a figure for either; enter your own list size on their pricing pages and write down what it says.
- The HubSpot figure is a floor. Professional includes 2,000 marketing contacts, and larger lists are bought in blocks we do not model here, so the 10,000-contact scenario will cost more than shown.
- Keap's contact tiers and implementation are not in the arithmetic. Implementation is quoted per customer.
- Pipedrive's figure excludes extras such as Campaigns and LeadBooster, and Zoho and Salesforce quote suites, not only a CRM; they do different amounts of work.
- Scalry's range is plan choice, not seats. Some features are only on selected plans.
What do free CRMs include, and what do you give up?
Free CRMs are not toys. HubSpot's free CRM handles contact and company records and deal pipelines. Systeme.io is free to 2,000 contacts, and several vendors offer free entry tiers. A solo consultant can run a real pipeline for nothing.
What you give up is usually specific rather than general:
- Automation. Little or none on many free tiers, so follow-ups remain manual.
- Users. Free tiers often cap users, so the plan changes at the moment a second person needs to log in.
- Branding. Vendor branding on forms and emails until you pay.
A free CRM is a good answer when your process is simple and you are the only user. It becomes expensive when you outgrow it and have to migrate, so check how easily you can export your data before you start.
What are the hidden people costs?
Software invoices are only part of it. We will not guess figures here, because they depend on your team, but these are the questions that turn into hours or invoices:
- Who administers it? Someone has to manage fields, permissions, pipelines and integrations. Is that a part of a person's job, or a paid consultant?
- How long does training take? A powerful CRM that nobody uses properly costs more per useful action than a simple one that everyone does.
- What does migration involve? Cleaning duplicates, mapping fields and importing history takes time, and so does leaving later.
How can you negotiate a better CRM price?
- Offer an annual commitment, but only once you are sure. Annual plans are cheaper per month, but they rarely refund mid-term. Use a monthly or trial period to validate fit first.
- Ask about startup or nonprofit programmes. Some vendors run them. Ask the rep directly and get the terms in writing; do not assume one exists.
- Negotiate the one-off fees. Onboarding and implementation charges are often more flexible than the subscription, particularly on multi-year terms.
How Scalry handles this
Scalry uses the flat-per-workspace model with monthly AI credits: Starter at $29 a month, Pro at $79 and Scale at $199, with annual prices of $290, $790 and $1,990. Pricing checked August 2026. The CRM, email, SMS, automations and the other tools live in the same workspace, so there is no per-seat meter to watch as you add people, and no contact-tier boundary to cross as the list grows. There is a 14-day free trial and no credit card is needed to start.
The honest limits: some features are only on selected plans, so check the plan you need rather than the entry price; AI credits are an allowance, not unlimited; and a solo user who needs only a basic pipeline may pay less with a free CRM or a cheap per-seat tier.
Questions to ask before you commit
Whichever way you are leaning, these are the questions that change the answer. Work through them against your own numbers rather than anyone's feature matrix — including this one.
- What happens to the price when I add five users? Ask for the figure, not a description of the model.
- What happens if my contacts double? Ask whether tiers move automatically and whether unsubscribed contacts count.
- What if I need a second pipeline, or more custom fields? Find out which plan unlocks it.
- Is there an onboarding or implementation fee, and is it required?
- What is charged separately for email, SMS, calls and AI usage? And do allowances roll over?
- What are the contract terms? Minimum term, refund policy, renewal increases and how to export my data.
If you cannot answer the first three, you are not ready to choose between Scalry and the other CRMs on your shortlist yet — you are still deciding what you need, which is a cheaper problem to solve first.
What mistakes do buyers make when comparing CRM prices?
- Comparing a seat price to a flat price. $39 looks far cheaper than $199 until you multiply by the number of users.
- Ignoring contact tiers. Pricing a list of 2,000 today and forgetting that the plan is built for 10,000.
- Forgetting onboarding fees. A required one-off fee can be a quarter of the year-one cost.
A short plan: choose and price a CRM in a week
Day 1: count users, contacts today and in twelve months, and the three features you cannot do without. Days 2 and 3: pick one vendor from each of three models and work out year-one cost at your size and at double it. Day 4: send the questions above in writing. Days 5 to 7: trial the shortlist with real contacts and choose on fit and year-one cost together.
Frequently asked questions
How much does a CRM cost for a small business?
A small business can pay nothing on a free CRM or several hundred dollars a month, depending on the pricing model. A team of three on per-seat plans in our August 2026 check pays about $117 to $300 a month, while flat plans start at $29. Onboarding fees, add-ons and messaging usually come on top of the plan price.
What are the different CRM pricing models?
The five common models are per seat, per contact tier, flat per workspace, usage or credit-based, and base fee plus seats. Seats charge for people, contact tiers charge for list size, flat plans charge one price, usage plans charge for actions, and base-plus-seats mixes a platform fee with extra users.
Is per-seat or flat-rate CRM pricing cheaper?
Per-seat is usually cheaper for one to three users, and flat-rate is usually cheaper for larger teams. In our August 2026 figures, per-seat plans at $39 to $100 a user pass a $199 flat price at six users on the cheapest and at two on the dearest, though plan features differ. Count your real users before deciding.
Why does my CRM bill keep going up?
The usual causes are extra seats, a contact count that crossed a tier, usage charges for email, SMS or AI credits, add-ons, and renewal increases. A growing list pushes you into higher tiers without a decision. Review seats and contact status before each renewal and ask for a written cap on increases.
Are free CRMs good enough?
Yes, for simple needs and a single user. Free CRMs such as HubSpot's free tier handle contacts, companies and deal pipelines well. What you give up is usually automation, extra users, branding removal and reporting. Check how easily you can export data, because the cost of a free CRM shows up when you outgrow it and migrate.
What hidden costs should I look for in CRM pricing?
Look for onboarding or implementation fees, add-on products, email and SMS sending charges, AI credit limits, storage caps, paid support tiers and contract minimums. For example, HubSpot Marketing Professional has a required $3,000 onboarding fee, and Keap requires implementation quoted separately. Also count admin time, training and migration.
How do I compare CRM prices fairly?
Calculate year-one cost for your own team size and contact count, using each vendor's published rules, then repeat at double the size. Include onboarding, extra seats, messaging and AI credits. Some vendors, such as ActiveCampaign and Mailchimp, have no static published price, so enter your list size on their pricing pages and record the result.
Write down your user and contact counts, then price three vendors from three different models for twelve months. You can rebuild one real campaign inside Scalry before moving anything else.
